There are so many challenges in commercial insurance—from delays, tight markets, and business owners who are perplexed about the rates. Your renewal process helps shield against audit issues and provides a smooth renewal that is well-organized and focused on protecting your business owner’s biggest asset—their company.

For most agencies, the business insurance renewal process looks more like a scramble than a beautifully organized experience. We focus on getting what we need for the carrier to renew the policy, but we should be focusing on providing the protection a business owner needs. In today’s market, business insurance renewals are more project management than insurance expertise. With the right business renewal process, your agency and team can blend the needs of the carrier with a great experience focused on protection.

The Benefits of Working With Business Owners

One thing that often gets missed for commercial teams is you get the benefit of working with business owners. Guess what business owners love? A great process, strong sales presence, and service that is top-notch. Business owners will spend more when the experience is effortless and engaging. However, if we focus on just check listing a business owner, they will treat you as nothing more than a bill and an inconvenience. 

There are so many areas within commercial lines renewals where we need to up our game. Commercial insurance renewals can tend to be more of a manual, cumbersome, and labor-intensive process. So you get the benefit of working with a more savvy (for the most part) client, but you need to be on top of your game to be impressive.

Where We Miss the Mark on Seamless Business Insurance Renewals

As a business owner myself, I have both E&S and standard market business insurance renewals. I can tell you from personal experience what it is like to be on the consumer side of the commercial insurance renewal process. So allow me to share with you my pet peeves.

Too Much Dependence On Email

Do you know how much email I get every day? Let me tell you—too much.

When your renewal process is all automated and/or relies on email, it’s a recipe for challenges.

Here is why:
  • Emails can go to junk or spam.
  • Generally, we all put way too much information in emails — business owners need quick bites.
  • If I get an email with a customer issue or my insurance renewal, I hop on the customer issue.
  • We put way too many complicated details in an email — if I weren’t in insurance, I’ll be upfront, I don’t think I would know how to fill out my annual Cyber Application.
  • We need to identify clearly how clients prefer to be served.
  • We may not always have the best information on who to send information to.

We can’t rely only on email to connect with clients. 

Embrace Technology

This happens to me every year. I get my E&O renewal application, and it’s sent to me as a PDF. Not a fillable PDF—just a PDF. So now I get to either print it and write in really tiny, illegible type, then scan it and email it back to you. 

Let me be honest: if I did this, you would have to call me because there would be no way you could read my handwriting—the more frustrated I get, the less legible my handwriting becomes.

The second scenario is that I get that PDF, open DocuSign, and then add in boxes myself. Both are a horrible experience.

What you can do is invest in technology that supports your process with applications. There is technology (start with what integrates with your management system) that allows you to send a form digitally, and then next year it stores my information so I can digitally initial and update the details.

This is a great example of how the business insurance renewal process frustrates both parties.

Ignoring Automatic Renewals

Too many independent insurance agencies just let the automatic renewals renew. I get it—we have so many other balls in the air—but these people are our most profitable customers, and we ignore them. 

What we need to do is conduct renewal reviews on all commercial clients. Over time, those policies need to change, and you may be leaving money on the table. When the business owner goes into different areas or grows, they could be facing a coverage gap or missed revenue for your agency. Your automatic renewals need attention too. 

Are We Insurance Agents or Project Managers?

Great question – we need to be both. The challenge is, for commercial insurance renewals, the demand is for us to be project managers. We have to connect producers, business owners, underwriters, CFOs, and HR team members—all to get a policy renewed. Then, if you need to shop the account, you are managing this times 3–5 carriers. Much of commercial is hurry up and wait. For many account managers, they need to be air traffic controllers to get the policy renewed. 

But wait, there’s more! We also need to not just gather the information needed to renew the policy—we need to make sure we are counseling and educating the business owner.

Balancing the roles of insurance expert and project manager is no small feat, but with a strategic approach that minimizes reliance on outdated methods like email and PDFs, agencies can meet the high expectations of savvy business owners. Ultimately, a robust renewal process not only maintains compliance and coverage but also positions your agency as a trusted partner, driving loyalty and growth in an increasingly competitive market.
