Proactive Insurance Strategies for Insurance Agents

Proactive insurance agency vs. reactive insurance agency. Which one do you think has more success and less stress? I can tell you—it’s a proactive agency. However, getting proactive requires a few steps backward, a bit of discomfort, and changing the values of the agency.

Being reactive allows you to disassociate, ignore issues, and come in for what the day brings you. The challenge is that you become a firefighter—when in reality, you want to be a fire preventer. No, this isn’t a bad insurance joke. Issues never go away. They grow and demand more time, energy, and resources. When you’re a proactive insurance agency, you are finding tiny problems and addressing them before they become big dramatic matters.

So, why do we avoid being proactive? Generally speaking, converting from reactive to proactive seems impossible because all of your time is sucked up putting out fires. You have no bandwidth to convert. People often say they do not have time for the gym. I hear that it is not a priority. Which is valid at some points in life. For example, if it is summer and you are short-staffed, this may not be the time. Do not let it become an excuse. If it’s been a year and there is still no time, that’s an excuse.

Another reason we avoid it is that we aren’t sure what the team will think or say—will people leave? Focus on what is best for your customers and business. The rest will work out. Lastly, we find that sometimes being proactive means having to confront some things that are hard. For example, proactively addressing someone who comes in late routinely is not a fun conversation. However, without it, more people come in late and then someone suffers.

When working with agencies in our Agency Assessment and Emerging Agency Programs, we always audit the agency for proactive strategies.

This blog covers five areas where proactive work supports a well-run insurance agency:
  1. Proactive Renewal Reviews
  2. Prospecting for Proactive Opportunities
  3. Forever Recruiting
  4. Auditing, 1:1s and reporting
  5. Strategic Planning
We will share the exact steps we use to help clients move from reactive to proactive. Before we begin, I want to share two quotes with you that really help me stay on track:
  • “When you focus on preparing you don’t have to focus on repairing.” – Jim Rohn
  • “There is freedom in discipline.” – Jocko Willink

Proactive Insurance Renewal Reviews

You may have heard of proactive insurance renewal reviews, but getting started can feel overwhelming. Here are some common questions we get from agencies about renewal reviews and some responses:

  • We can’t keep up as is—how can we do more?

Here is the reality: in most agencies, we are focused on repairing those relationships. We handle upset clients, lapsed policies, and threats to shop. Sit in an account manager’s seat for a day and field their phone calls. Imagine what proactive contact could solve. Proactively contact clients, get them on EFT/ACH, and identify cross-selling opportunities. The reality is that a gap makes proactive insurance renewal reviews difficult. You have to get out of your head. After 60 days or two months, this burns off, and life gets much better.

  • This will lead to more reshopping which we are trying to avoid

Too many agencies automatically re-shop clients when rates increase and call them. Replace this immediately with proactive review calls. When you are proactive, reshopping is replaced with reviews. This leads to working within current carriers and increasing coverage. The trick is that your team needs a strong process and training for delicate conversations. Remember, if clients are not talking with you, they are speaking with your competition. We have several options to help your team get started. Check out the How We Work page.

  • We will be poking the sleeping bear

I remember the first time I heard this. So, calling your customers causes them to shop for insurance? That’s not cool. This means operating your agency out of fear. Just a reminder: billions of dollars are spent poking your clients to encourage them to shop. Your agency needs to be part of this conversation.

  • Can we even call everyone?

While every agency is different, the answer is yes—it may just take time. Agencies with many acquired books generally have a lot of cleanup. The idea is to ramp up and stay on track. Consistency is critical. If it takes one year to get there, it is not a race. We prefer quality conversations over fast transactions.

  • Should we focus on customers or internal teams?

I encourage everyone to think about what is best for customers, not just internal teams. How will customers know what to ask or what coverage they need without you being proactive? Stop spending so much time on the worst clients and start working on the best ones.

Proactive Insurance Prospecting

Having a healthy sales pipeline helps you have a proactive insurance lead generation approach. Too many agencies aggressively wait for the phone to ring. However, this is not how we can effectively grow with the best opportunities. If you are an inbound agency, you need to invest in marketing.

Here are some ways we can generate opportunities:
  • Working to Attract Call-in Opportunities
  • Agency Marketing
  • Working Your Current Book
  • Certificate Requestors – Calling on them
  • Outbound Calls to Lost Customers and Past Unsold Quotes
  • Doing Drop-Bys
  • Networking Events
  • Niche Marketing
  • Purchased Leads
  • Centers of Influence

Make sure you have ways to generate new opportunities to attract not only call-ins but also your ideal client. We have Commercial Sales Training and General Sales Training as well to help your team get started.

Forever Recruiting

We have not created insurance robots yet (although I would love to try). What this means is, we need a proactive insurance recruiting strategy. The truth of the matter is that people can really hurt your progress. If someone quits or you need to move on from them, it stifles growth and culture. The traditional method has been to hire when we need someone. The reality is you are hiring out of desperation, not preparation.

Forever recruiting says you want to have the feelers out for the best people all the time. You never, and I mean never know when you may need someone. Recruiting is just having conversations and meeting new people, creating a bench of quality people you can potentially work with.

The reality is, I have never looked for a job since I graduated college. When I was ready to make a career shift, I used my network, not Indeed. The best people aren’t always looking in the traditional channels. If you need help, check out our process pack on How to Hire & Retain Staff.

Auditing, 1:1s and Metrics

One huge mistake agencies make is not creating a proactive insurance management process. Too many agency team members are under-managed. Really strong agencies get good at communication and accountability.

They do this with the following methods:
  • They have processes and procedures and they randomly audit the team’s work. This ensures everyone is doing the job the way the agency has outlined it.
  • Every manager has a 1:1 with their team a minimum of once per month, more if possible. This is a time to connect on numbers, challenges, and have really open and honest communication.
  • Metrics: Every agency needs to operate on facts not feelings. The numbers do not lie. You need to be watching for backlog, accuracy, sales, lost business, and book growth.

When you share and operate based on numbers, we have clarity on how to grow and operate.

Strategic Planning

Payroll is your agency’s biggest investment. You need a clear, shared plan to maximize it. This includes what the agency goals are and the strategies to hit them. For many agencies, they wing their plan or it’s in their head and not in writing.

At APP, we have an annual launch to help the team stay aligned. We also hold quarterly and monthly All-Hands-on-Deck meetings to share progress. At any point, the team can see exactly where we are with our goals. They are incentivized around them. People enjoy transparency and knowing what a good job really looks like.

If you need help building your strategic plan, be sure to check out our Annual Strategic Planner.

Conclusion: Embracing the Proactive Agency Future

Moving from a reactive to a proactive agency model is not just a strategic shift. It is a fundamental transformation of your agency’s DNA. As we have explored, the reactive trap is easy to fall into. It feels like you are working hard because you are constantly putting out fires. But being a “firefighter” is exhausting and ultimately limits your growth. To build a sustainable, high-performing business, you must transition to being a “fire preventer.” This requires a conscious decision to prioritize preparation over repair. That shift brings long-term stability and significantly reduces your team’s daily stress.

At the heart of this transformation are the five pillars of a proactive agency.

First, Proactive Renewal Reviews shift the narrative from defensive re-shopping to offensive coverage enhancement. Reach out to clients before they have a reason to call you. This builds trust and solidifies relationships. Second, Prospecting for Proactive Opportunities fills your pipeline with ideal clients. It uses intentional marketing and outbound efforts. It replaces waiting for the phone to ring. Third, Forever Recruiting protects your culture and growth. It helps you avoid hiring out of desperation. Always keep your feelers out for top talent. This builds a bench that can support your vision.

The fourth pillar, Auditing, 1:1s, and Metrics, provides the structure needed to maintain high standards. Managing based on facts rather than feelings creates clarity and accountability. It helps your team understand exactly what success looks like. Finally, Strategic Planning ties everything together. A clear, written plan should be shared with the entire agency. Every team member is aligned and moving in the same direction. This transparency fosters ownership and encourages everyone to contribute to the agency’s goals.

We acknowledge that this transition has challenges. It requires entering a zone of initial discomfort and confronting hard truths about current inefficiencies. It may also mean facing resistance from those comfortable with the status quo. However, the long-term benefits are more valuable than the temporary ease of remaining reactive. Those benefits include stronger client retention, a more engaged workforce, and predictable growth. Remember that you do not have to implement everything overnight. Proactive leadership is about making incremental, consistent changes. Consistency is the engine of progress. Even small steps taken daily will eventually lead to a complete agency overhaul.

As you begin this work, keep in mind the freedom that comes with discipline. Proactive processes free your team from the chaos of the “fire of the day.” Proactive leadership is the only way to secure your agency’s future in an increasingly competitive market. Start today, stay the course, and lead your agency toward the successful, proactive future it deserves.
