Insurance Service Time Management: When It All Comes In At Once

Our topic for today’s video is a common scenario we see with account managers: they get really overwhelmed and stressed when all of the work comes in at once.

“Don’t let the stress get to you. We are not the only industry where things come in at the same time.”

You know the saying, when it rains it pours? There are just some days when it all hits like a tidal wave, when you have a remarket, a piece of new business, and a customer at the dealership, all at the same time.

 

Instead of letting yourself get overloaded, some simple insurance customer service time management practices can help you keep a cool head, and finish all of the work you need to. We’re not typically taught insurance customer service time management skills, but we definitely all struggle with it. Here are some tips and tricks to try, when you feel overwhelmed by your workload:

 

  • Focus on your stress level

When we feel the work piling on at once, it’s important to monitor our own stress level. Instead of focusing on how much is on our plate, we need to shift our thinking to organization. How do we organize all of the work at hand? We tend to put unnecessary pressure on ourselves, to finish everything immediately. We don’t know what’s coming next, so we want to clear our plates. This is not necessarily a great way to work, and it’s important to keep in mind we can still take appropriate time with tasks.

 

  • Be clear with due dates

When something comes in, whether it’s from an owner, producer, client, or team member, you should always ask something along the lines of “When do you need this by?” Having clear due dates and deadlines will help you do one very important task: prioritize. Think of a nurse in the ER: cases will always come and go, but not everything has the same priority.

 

  • Manage expectations

Rarely will you find that everyone wants their work back at the same exact time, or in the same time frame. But if that’s the case, you can easily and smoothly manage expectations. Saying something like “This is going to take me a little longer, can I get this back to you tomorrow?” is a really simple way of prioritizing and setting realistic deadlines.

 

The bottom line is that you shouldn’t let stress get to you when it seems like a ton of work is coming in all at once. By focusing on insurance customer service time management, you’ll be able to prioritize your tasks and get everything done with ease.
